Position Summary:

The Legal Assistant will assist with the preparation of legal documents and will provide administrative support to the company’s legal department, as well as other ancillary departmental or affiliate needs.


Key Responsibilities and Essential Functions:

Includes the following. Other duties may be assigned.


Contracts/Bonds/Insurance:

  • Contracts
    • Collect documents re bids and proposals;
    • Perform document comparisons
    • Perform redactions
    • Maintain tracking and compliance status logs
    • Maintain boilerplate subcontract templates
    • Prepare project specific subcontracts
  • Insurance/bonds
    • Process Certificates of Insurance and policy requests with insurance broker.
    • Procure bonds through surety agent
    • Track and arrange for renewals.

Proposal support:

  • Review and provide information for qualification statements

Corporate Records:

  • Assist with preparation, recording and filing of corporate consents and documents

Subcontractor Prequalification Support:

  • Follow up with for information from applicants.

Licensing and Registration

  • File, renew and/or track licenses and registrations including:
    • All federal, state and local licenses, registrations and reporting
    • Prequalification filings and updates
    • business permits
    • Employee licenses
    • Examinations and qualifiers

Other Administration

  • Maintain weekly task list and frequently review priorities
  • Coordinate calendars and set up meeting schedules;
  • Filing
  • Cost Tracking
  • Word processing
  • Calendar and appointment scheduling
  • Contact Maintenance
  • Processing expense reports and credit card statements
  • Library maintenance (e.g., pocket parts)
  • Process bill payments (approve bills in some cases)
  • Data entry and tracking
  • Informational research
  • Mailings for department, including tracking certified mail receipts.
  • Affiliate support
  • Update and maintain policy and procedures manual(s)
  • Prepare and file registrations and renewals for professional memberships, licensing, and compliance.

Education, Experience, and Qualifications:

  • Legal administrative and/or Paralegal experience, 3 years minimum
  • Associates degree and/or Paralegal Certification preferred
  • Highly organized and efficient
  • Thoroughness, with strong attention to detail and accuracy
  • Proactive and resourceful
  • Pleasant demeanor
  • Proven skills in full MS Office Suite (Word, Excel, Access)
  • Experience performing basic research and preparing documents and other written communication
  • Solid verbal and written communication skills
  • Ability to multitask, and track and achieve oft-changing tasks, initiatives, and priorities
  • Team player, that cooperates and coordinates among numerous stakeholders
  • Champion initiatives to prompt and successful conclusion
