CLIENT CONCIERGE/MARKETING ASSISTANT

New Beginnings Family Law, P.C., located in Huntsville, Alabama, is an innovative, fast-paced boutique matrimonial and family law practice. We are looking for a client concierge/marketing assistant to join our team who is interested in providing high quality client service, has at least 5 years of proven, successful experience in customer service, high ticket sales, high end retail, hotel concierge, client retention, phone sales, executive assistance, restaurant hostess, marketing, social media marketing, or similar positions.

This is a salary plus commission type position so the ability to achieve results is directly tied to both your success and ours. This position provides an entryway into several different career paths in our firm such as Marketing, Sales, Executive Assistant, or Legal Assistant/Paralegal.

This position is anticipated to have a start date of June 1, 2023. Our interview process requires multiple steps including a written application, telephone, zoom, and in person interviews. Once we receive these items and have had a chance to review them, we will forward instructions for the next phase of the application process to all applicants who have passed the first round by April 10th, 2023.

SKILLS REQUIRED

  • Excellent oral and written communication skills
  • Experience utilizing CRM programs like Infusionsoft, Law Ruler, Constant Contact, Lawmatics, Hubspot, or Salesforce
  • Experience building marketing funnels in programs like Infusionsoft, ClickFunnels, or other programs
  • Experience with copywriting for sales or marketing materials
  • Experience with social media marketing
  • Experience with Microsoft 365
  • Excellent customer service skills
  • Heart for helping people going through some of the most difficult times in their lives

DESCRIPTION OF GENERAL JOB DUTIES

  • Answers telephone and distributes calls, vets potential clients via phone, email, and/or text message
  • Rotates responsibility for afterhours potential client follow up
  • Schedules initial client consultations and follows up with leads who did not schedule consultations
  • Sends potential clients appropriate intake forms and makes sure they receive appropriate follow up emails
  • Follows up with potential clients to confirm appointments
  • Ensures attorney has appropriate documentation to prepare for and conduct consultations
  • Assists clients in getting onboarded once they retain
  • Follows up with any potential client that did not retain
  • Documents retained clients in all appropriate databases
  • Creates files and provides to attorneys/paralegals
  • Follows up with clients at least every six weeks during their case to ensure client satisfaction
  • Notifies attorney/paralegal of any client concerns
  • Sends client 90-days gifts
  • At close of case, takes all steps necessary to close out case
  • Curates and suggests case closing gifts for client
  • Assists in cultivating a Team 100 referral sources and makes recommendations to clients when needed
  • Conducts exit surveys and interviews with client
  • Requests reviews
  • Makes appointments for clients with outside referral sources to provide necessary services
  • Greets potential clients and clients when they come into the office
  • Prepares client intake packets
  • Sends potential clients Thank you notes after consult
  • Sends birthday and Christmas/Hannukah/Holiday cards to clients
  • Schedules customer service calls for each former clients at least one time each year to check on them
  • Makes sure client’s file is ready on day of closing meeting along with gift
  • Calls prior client 30 days after closing meeting to check on them and then puts them in the yearly rotation
  • Helps Rainmaker with cultivating ideas for additional marketing options
  • Social media posting
  • Assisting Rainmaker with developing social media marketing campaigns
  • Monitors online locality-based groups on social media looking for family law or divorce attorneys
  • Assists Rainmaker with any live or online speaking engagements
  • Rotates responsibility for trash, running errands, and dishes with other parts of the admin team
  • Other duties as assigned

Job Type: Full-time

Pay: From $15.00 per hour
