Job Description

West Development is a management company located in Carlsbad, CA. Our office serves as the business support office for portfolio companies across various industries including senior housing, IT business solutions, and commercial development.

We are currently seeking an HR Administrator to add to our team with a familiarity in benefits, LOA, and experience in HRIS maintenance. This position reports to the Human Resources Manager and will provide day to day HR support in multiple functional areas.

This is a full-time non-exempt position. The HR Administrator is eligible for consideration of the company’s hybrid telework program after successful completion of training and satisfying the program’s eligibility requirements.

Essential Duties & Responsibilities Include:

  • Administers the electronic onboarding process in ADP
  • Approves new hires entered by users in HRIS system ensuring accuracy of data and oversees manual onboardings as needed
  • Occasionally will initiate and enter new hires in HRIS system for specific stakeholders
  • Completes and assigns requests received in the department’s shared email inboxes
  • Conducts e-onboarding sessions with West Development new hires and other entities as needed
  • Prepares separation paperwork and transfer of team member files to terminated records
  • Updates HRIS with team member changes (termination, status change, etc.)
  • HRIS Super-User and primary point of contact in this functional area
  • Assists with HR communications via ADP Portal, SharePoint, and general postings
  • Responsible for team member e-files (creating, filing, record retention, and compliance)
  • Prepares and distributes HR related materials such as benefit packets and required mailings as needed
  • Assists in internal HR audits to ensure data integrity and compliance
  • Processes VOEs
  • Assists with UI inquires and correspondence
  • Provides training and support for HR Team projects and goals
  • Assists with updating team member status in 401(k) recordkeeper as needed, downloading 401k recordkeeper file feeds, and sending updates to payroll
  • Assists talent acquisition by processing background screening, reference checks, scheduling interviews and conducting phone screenings for non-exempt roles
  • Prioritizes competing deadlines when assigned projects from the team
  • Completes assigned cybersecurity training in a timely manner
  • Assists with compiling team member information as requested for our annual 401(k) audit
  • Performs other duties to meet department and company goals

Desired Knowledge, Skill, and Abilities:

  • 2-4 years’ progressive human resources experience
  • High School Diploma or equivalent; associate degree or HR certificate a plus
  • 2-4 years’ HRIS experience, ADP Workforce Now is highly desirable
  • Intermediate MS Office Suite experience
  • Highly motivated, curious self-starter with a high productivity level
  • Ability to continuously re-prioritize duties to meet deadlines
  • Ability to adapt and work in a responsive stakeholder-driven environment
